The code list
The code list is an essential part of your database as it groups your farm’s transactions so you can see what type of incomings and outgoings you have in reports and budgets.
TIP: Cashmanager RURAL allows you to have an unlimited number of codes. However, having too many codes can cause confusion. Try to keep your code list as simple as you can. Organising your code list
You can see your existing codes and setup new codes in the Setup Codes screen:
From the transaction screen click on the Setup menu then Codes.
Your code structure is organised into 3 levels:
- Sections
Group your codes and also create totalling areas for reporting and analysis.
There are three section types:

Standard Section
Identified by three blue dots
Groups similar categories together e.g. all Income items such as Stock Sales, Other Farm Income and Wool Income. -
Sub Total
Identified by a blue equals sign
Totals everything above it to the next Sub Total level, if there is one. -
Running Total
Identified by a red equals sign
Totals everything sitting above it in the code list.

Category code - Category codes are for broad parts of your business.

Extended code - Extended codes form a subgroup of a category code allowing us to look at a particular income or expense item in more detail.

TIP: Sections, category and extended codes can be repositioned by dragging and dropping except for GST which stays at the bottom of the code list for reporting purposes. Summary group codes

Each category code must be assigned to a summary group and this happens by default when you create a new category code.

You will allocate a summary group code when you create a new code.

Extended codes automatically inherit the summary code of the category code it is linked to.

The summary groups are pre-set and you cannot add new or delete summary groups.

The summary codes are used for grouping in reports such as the Economic Farm Surplus (EFS) report.
You can see what summary group has been allocated to a category code by the symbol sitting to the left of each category.
